As an Office Manager, you will be the first point of contact for our clients, providing excellent customer service, ensuring smooth day-to-day operations, and organizing and preparing Accounts Payable and Accounts Receivable are priorities. Your role is crucial in creating a welcoming atmosphere, and an inclusive culture, maintaining efficient administrative processes.


Responsibilities:

  • Welcome clients warmly and ensure a friendly atmosphere.
  • Schedule appointments and oversee the appointment calendar for external staff.
  • Update and verify client information in the system.
  • Deliver outstanding customer service by addressing client inquiries and concerns.
  • Maintain effective communication with clients and internal teams.
  • Manage phone calls, emails, website inquiries, and other correspondence.
  • Process client, subcontractor, and in-house paperwork efficiently.
  • Safeguard client files and uphold confidentiality.
  • Train and mentor administrative staff.
  • Accurately prepare and process invoices and payments.
  • Assist clients with billing inquiries and property insurance-related concerns.
  • Ensure the office is clean and organized.
  • Procure and manage office supplies as needed.
  • Other administrative tasks as needed.

Qualifications:

  • Previous experience in a small office environment is preferred (minimum of 3 years).
  • Strong interpersonal and communication skills are essential.
  • Excellent organizational and multitasking abilities are necessary.
  • A team-building mentality is highly valued.
  • Proficiency in Microsoft Word and Excel is required.
  • Ability to learn new computer software is essential.
  • A typing speed of more than 75 words per minute is necessary.
  • Working knowledge of QuickBooks Online is preferred but not required.
  • Knowledge of Xactimate estimating software is a plus.

Salary and Benefits:

  • Full-Time
  • Salary at $40,000 - $50,000 per year, commensurate with experience.
